Information we collect
When you enquire or apply for coaching, we may collect your name, contact details, application answers, goals, availability, relevant lifestyle information and communications. Applications submitted through the ZM application system are received and managed there.
If you become a client, Kahunas may collect onboarding answers, exercise history, relevant injuries or health information, nutrition information, body measurements, progress photographs, check-ins, messages and other information needed to deliver your agreed coaching.
Our website and service providers may process technical information such as IP address, browser details, device information, timestamps, server logs and cookie or similar technology data where applicable. Do not submit information about other people without appropriate authority.
How we use information
We use information to respond to enquiries, assess coaching applications, administer onboarding, deliver and personalise coaching, communicate with clients, track progress, maintain records, protect our services and meet legal obligations. Where applicable, processing may rely on steps requested before a contract, performance of a contract, legitimate interests, consent, or legal obligations, subject to the rules that apply to you.
We do not treat an application as permission to send unrelated promotional marketing. Marketing communications requiring consent will only be sent with the appropriate permission.
Health information and photographs
Client onboarding through Kahunas may include sensitive health-related information, injury history, body measurements, facial and physique photographs and lifestyle details. Such information is used only as appropriate to assess readiness, adapt coaching and monitor progress, with the relevant legal basis and additional protections required by applicable law.
We do not publish client photographs, testimonials or transformation material for marketing without separate appropriate permission. Any optional use of AI-assisted tools to help prepare individual assessments or plans must be disclosed and supported by the necessary permissions and safeguards; client information should be minimised and reviewed by the coach.
Who may receive information
Depending on the services used, information may be processed by the ZM application platform, Kahunas, website hosting and domain providers, email services, video or communication tools, and authorised professional advisers. AI-assisted tools may be used for individual coaching planning only where appropriately disclosed and permitted. Payment processors may be involved if paid checkout is enabled later.
Service providers may act under their own terms and privacy notices. We do not sell client health information or photographs to advertisers. We will update this policy if our provider arrangements materially change.
International processing
Because the business is UAE-connected and the website and email services may involve providers in other countries, information may be processed outside the country where you live. Where required by applicable law, appropriate safeguards will be put in place for international transfers.
Retention and security
We retain personal information for as long as reasonably necessary for applications, active coaching, contractual administration, legitimate recordkeeping, disputes and legal obligations. Actual retention periods depend on the type of record and applicable law; specific deletion and retention schedules must be confirmed with the relevant service providers.
We use reasonable organisational and technical precautions and limit access where practical. No online service can guarantee absolute security. Requests for access or deletion may be subject to legal recordkeeping requirements.
Your choices and rights
Depending on where you live and which law applies, you may have rights to request access, correction, deletion, restriction, objection, portability or withdrawal of consent. Contact jensen@joinprojectkaizen.com. You may also be entitled to complain to a relevant data-protection regulator.
Children
Project Kaizen is intended for adults aged 18 and over. Please do not submit personal information on behalf of a minor.
Changes and contact

Applications and third-party platforms
Application submissions are processed through the ZM application system currently available at https://jensenbose-apply-fitness.vercel.app/. The client coaching platform is Kahunas. Their respective infrastructure, subprocessors, storage locations, transfer mechanisms and consent language must be checked before launch; this policy does not claim these have been independently verified.
